Registration Policy

Introduction
Folkvangr Grove will often act on your behalf to set up your registration. Protecting the privacy and the confidentiality of personal information—over the Internet, on the telephone, or through our office—has always been fundamental to the way Folkvangr Grove conducts its affairs. Folkvangr Grove operates on the basis of a Privacy Policy and related procedures that guide the handling of the personal information collected. This policy and related procedures are consistent with the Canadian Standards Association Model Code for the Protection of Personal Information (herein “CSA Model Code”) and applicable privacy legislation.
Accountability
Folkvangr Grove is accountable for all personal information under its control. Folkvangr Grove’s Privacy Officer is Owner and Founder, Devin Scott, who is designated as responsible for the Folkvangr Grove privacy policy. Devin can be reached by:

Any questions about Folkvangr Grove’s handling of personal information should be directed to Devin Scott. In cases where the question concerns an access request, individuals must follow the request process described under Accuracy of and Access to Personal Information Collected.
Registering on behalf of a Client
Performing a registration on your behalf may also involve cancelling an existing registration that was either made by mistake or otherwise unnecessary. By requesting Folkvangr Grove perform any registration on your behalf, you are giving consent to cancel any existing registration that may conflict with your new registration. If there is a balance on your account upon cancellation, your account will be credited in accordance with our Refunds, Cancellations & Transfers policy. When making any registration on your behalf, Folkvangr Grove will always use any credits available on your account first, before other payment methods are sought.
If for whatever reason you do not wish us to use any available credits on your account to perform a registration on your behalf, you must provide a written request. Any request by a client for registration of a monthly subscription made by Folkvangr Grove on behalf of the client is automatically defaulted to the 12-month (or otherwise longest) iteration of that subscription option. We are very much a community-driven school and encourage our clients to grow with us as we continue to build our community.
Consent and Direct Billing
Folkvangr Grove seeks consent and confirmation for all registrations it performs on behalf of the client. If a credit card or payment method has been saved on your account, Folkvangr Grove will automatically bill that card when performing any registrations on behalf of the client. This can take the form of a Monthly Subscription with automatic recurring billing.
As a client, by requesting Folkvangr Grove perform any registrations on your behalf, you are providing consent for any credit cards on file to be automatically billed. If information is voluntarily provided, this is interpreted as consent to the collection, use and disclosure of personally identifiable information as described in this Privacy Policy. As required by the CSA Model Code, Folkvangr Grove will not use personal information for any purpose other than that for which consent has been provided. This includes billing credit cards, or making payments on behalf of the client. Should Folkvangr Grove require use of personal information for a new purpose, consent will be sought for that new use.
Requesting Access or Changes
To make a request, please send a letter, or email, or message to Devin Scott, mentioned above. In any written request, please include the following information:
Your Name
Contact details
Membership number (where applicable)
Nature of the request
If an inquiry concerns a specific transaction, please indicate the date of the transaction, and provide a receipt number if applicable.
Folkvangr Grove will reply to requests no later than thirty days after receipt of the request, or if it is not able to respond within this time period, a notice of extension will be sent.
